How can we help?
Quick guides to UnisPath for counseling organizations and their students. If you can't find what you need here, email us — we typically respond within one business day.
How UnisPath works
A platform with two sides — counselors run their pipeline on one side, students apply and upload documents on the other.
Counselors & admins
Invite students, review documents, message families, and move applications through the pipeline.
Students
Chat with the AI counselor, shortlist universities, upload documents, and track every application's status.
Workflow
Each application moves through five stages — Shortlisted, Documents Needed, Submitted, Under Review, and Offer Received.
For organizations & counselors
Getting started after approval
After registering your organization at /auth/org-signup, our team reviews and approves your account (usually within 24 hours). Once approved, you can sign in at /auth/login and you'll land on the admin dashboard.
A getting-started checklist appears at the top of your dashboard with four steps: confirming your organization, adding your first student, creating your first application, and setting up a follow-up task.
Invite your counselor team
Go to Team in the sidebar to invite counselors. Each invitee receives an email with a temporary password and is required to change it on first login. You can set a per-counselor student capacity — the maximum number of students they can be assigned — which controls the round-robin distribution described below.
Add students — manually or via CSV import
Go to Students to add one student at a time, or open Dashboard → All Applications and use the Import from CSV button to onboard a list in one go.
CSV format
email— requiredfull_name(orname) — optional, falls back to the email prefixphone(orphone_number) — optional
The import modal includes a Download template CSV link to start from. Extra columns are ignored. Duplicate emails and invalid addresses are skipped, and you'll see a per-row report of what was created, skipped, or errored.
Imported students receive a Firebase account and a temporary password by email; they're prompted to change it on first sign-in.
The student pipeline
Every application moves through five stages, shown as columns on your dashboard:
- Shortlisted — student has selected this university but documents are not yet collected.
- Documents needed — application is open and awaiting uploads from the student.
- Submitted — counselor has sent the application to the university.
- Under review — university is evaluating.
- Offer received — admission decision is in; counselor can upload the offer letter for the student.
Status changes trigger automatic email notifications to the student.
Document validation
When a student uploads a document (transcripts, English test scores, passport, personal statement, etc.), our AI reads it and assigns one of three statuses:
- Valid — looks correct, legible, and complete.
- Needs review — AI is unsure; a counselor should check.
- Invalid — wrong document type, illegible, or incomplete. Reason is shown.
Counselors can review all uploads in the Doc Queue tab. AI verdicts can be overridden by the counselor.
Tasks & follow-ups
Use the Tasks tab to track next steps — follow-ups, document chases, deadline reminders. Tasks are tied to a student or an application, and overdue ones surface on the dashboard.
Messaging students
Every application has a built-in message thread between the student and the counseling team. Use Messages in the sidebar to see all threads in one place — unread counts appear in the navigation badge.
Counselor assignment & workload
When a new student joins your organization (manually or via CSV import), they're automatically assigned to the counselor on your team with the lowest current student count, respecting each counselor's capacity setting. This is visible in the Team tab as a workload breakdown.
You can manually reassign a student to a different counselor at any time from the student's detail page.
Email notifications
Students automatically receive emails for major events: their account is created, and their application moves to a new stage (including a school making an offer). All emails come from UnisPath at noreply@unispath.com.
For students
How you join
Your counseling organization sends you an invitation by email. The email contains a temporary password — sign in at /auth/login, set a new password, and you're in.
Building your shortlist
On first login you'll be asked to complete your profile — your country, qualifications, intended majors, budget, and grades. Your counselor uses that to put together a shortlist of universities for you, drawing on QS rankings and curated program data.
Pick the universities you want to apply to from your shortlist, and an application is created for each one in your portal.
The application portal
Your portal at /portal shows every application's current stage, the documents each one needs, and a message thread with your counseling team.
Uploading documents
For each application, upload the documents your university requires — transcripts, English test scores (IELTS / TOEFL), a personal statement, CV, and reference letters. Accepted formats: PDF, PNG, JPG, TXT, DOC.
After upload, our AI checks the document type and legibility and flags anything that looks off. Your counselor reviews and gives the final approval before submission.
Webinars
When the UnisPath team hosts a webinar (admissions guidance, test-prep sessions, alumni Q&As), invited students see it in their portal and can join directly in the browser.
